At HPN we are committed to protecting and respecting your privacy. We aim to only make responsible use of your data.

This policy explains when and why we collect personal information about you, how we use it, the conditions under which we may disclose it to others and how we keep it secure.

We may change this policy from time to time so please check our web page occasionally to ensure that you are happy with any changes.

Who are we?

HPN is an informal networking group that meets once a month to meet other people interested in property and to sharing knowledge.

How do we collect information from you?

We obtain information about you when you fill in our attendance sheet when you arrive at one of our meetings, when you email us, when you send a bank payment to us or give us information about yourself verbally or when you subscribe to our mailing list on our web site or via our online booking portals.

What type of information is collected from you?

The information we collect from you is your name, email address and telephone number, payment details & Company name.

Most of the data we collect about you is stored on password controlled dropbox files. These files can be accessed by HPN committee members only. Your email address is also stored on the HPN googlegroup.  You are sent an invite to join our googlegroup.  When you join our googlegroup you are giving us your consent to send our HPN meeting reminders and other emails or texts to you. Paper copies of our attendance sheets are kept by one of the committee members for one year only.

How is your information used?

We may use your information to:

  • Send you communications which you have requested or that we think may be of interest to you.

  • Send information or updates on HPN meetings, both past and future.

  • Notify you of changes within HPN or how it operates.

  • Inform you of monthly meetings.

  • Contact you about specific events.

We review our retention periods for personal information on a regular basis. We will hold your personal information on our systems for up to 10 years after your last expression of interest, unless you ask us to remove this information from our records before then.

Consent

By attending one of our meetings you consent to the collection and use of your personal  information for the purposes and in the manner described in this Privacy policy.

Who has access to your information?

HPN Committee members.

We will never sell or rent your information to third parties.

We will not share your information with third parties for marketing purposes.

We do not work with third party service providers.

Data Protection – Your rights of Access

You have a choice about whether or not you wish to receive information from us. If you do not want to receive communications from us about our HPN meetings, then please contact us by emailing hampshirepropertynetwork@gmail.com.  If you would like information about you deleted from our records, then please email us at the above address.  If you would like to know what information we are holding about you then please email us at hampshirepropertynetwork@gmail.com or write to HPN, 58 Northern Road, Cosham, Portsmouth, PO6 3DP. You have the right to ask for a copy of the information HPN holds about you (we may charge a small fee of £5 to cover our time and postage when dealing with this request).

Updating your information?

If you change postal address, email address, telephone number or if any of the other relevant information we hold is inaccurate or out of date then please email us at hampshirepropertynetwork@gmail.com. Security precautions are in place to protect the loss, misuse or alteration of your information.

When you give us personal information, we take steps to ensure that it is treated securely. Non-sensitive details (your email address etc.) are transmitted normally over the internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us via email. And you do so at your own risk. Whilst we endeavour to keep our systems and communications protected against viruses and other harmful effects we cannot bear responsibility for all communications being virus-free. Once we receive your information, we make our best effort to ensure its security on our systems.  Our personal computers and Dropbox folders that we use for the work of HPN are all password protected. 

Profiling

We do not collect any information about you for the purpose of profiling and do not participate in any profiling activities.

Use of “cookies”

Like many other websites, the HPN website uses cookies. “Cookies“ are small pieces of information sent by an organisation to your computer and stored on your hard drive to allow that website to recognise you when you visit.  They collect statistical data about your browsing actions and patterns and do not identify you as an individual. The use of cookies does not give us access to the rest of your computer or to personal information about you.

Links to other websites

Our website may contain links to other websites run by other organisations. This privacy policy applies only to our website. We are not responsible for the privacy policies and practices of other sites even if you access these using links from our website.

Transferring your information outside of Europe

The information which you provide to us will not be transferred outside the EU.
